Frequently asked questions
What size conference venues do you cover in London?
Conference sizes vary tremendously — they can start from as low as 25 pax, but go up to 2,500 at either end of the spectrum. Typically your average event looks like 50–250 pax, somewhere in that range. No two events are the same — the timings, set-up and format all vary. We tend to work mainly with five-star hotels, very good four-star hotels and independent venues. The objective is always to find the best fit for each and every event — location, comfort, convenience for guests and budget all play a part in the final choice.
How much does it cost to hire a conference venue in London?
It's very hard to say without a date and a brief — there are so many variables. Seasonal demand plays a big part, and days of the week impact pricing too, with some days being cheaper than others. All things considered, for our market and without any other information, we look for a Day Delegate Rate (DDR) below £150. Anything below that is good; anything above we question. We try to keep service fees at 10%, especially for larger events — we like to pay it, but not overpay it. A syndicate room, typically used for small speed-dating style events, would start from about £500 per day — but that's entry level for our market. For a working roadshow lunch we'd hope not to spend more than £125pp, and for a working dinner from £150pp. But these rates are indicative and not to be relied on at all without a full brief.
Do you charge a fee to shortlist?
No, we don't charge our clients — hotels pay agents like us commission. Importantly, this does not impact the rates our clients pay. Typically our clients actually get access to better rates through us than they would going direct. There are two reasons for this: first, we work with a lot of the City's top companies, so we place more business at most venues than any individual could — the venues are ever mindful of keeping us happy. Second, we work very, very hard on goodwill with our venue colleagues, because the more they like and respect us, the harder they will work for our clients. While we do not charge a fee, we are selective about who we work with.
Which London areas are best for conferences?
We do a lot of business in Mayfair and the City. We also book a lot in what we call the mid-town area — the mid-way point between the City and the West End — so think Rosewood London (Holborn), The Waldorf Hilton (Aldwych), ME Aldwych, Corinthia and the Savoy. We don't tend to book Canary Wharf or anywhere too off-piste from these areas. This is where the majority of the attendees work, and the bottom line is to be as close and convenient to them as we possibly can.
How quickly can you send a shortlist?
This varies subject to the brief, but we are well known for speed. For something like a financial roadshow the answer can be as little as half an hour — when we know the brief, it's very easy for us to know the ideal venues, and we have most of them on speed dial. They like to take our calls because they know our clients have high conversion rates. A more complex brief might mean getting on a plane and doing site visits, which takes more time. But the one thing clients always know is that we are on it and we keep them informed — they feel safe with us on their team.
Can you help with accommodation?
Yes — we often provide clients with URL links or codes for specific hotels, something they can then share with their own clients. It enables individuals to book directly with the hotel at a pre-negotiated rate. The key thing here is that our clients pass the costs on to their clients — they are not liable for the individual bedrooms. This type of bedroom block is what we use to support many of the larger events we are involved with.

Tell us your dates, delegate numbers and format — we'll come back with a shortlist of held venues the same day. There is no fee to you; venues pay us a commission only when you book.
